GBP QA Cleanup Process
Last Edited: 2026-06-29 01:32
Process SLAs
- Standard Audit & Draft: 3 Working Days.
- On-Site Implementation & Cleanup: 2 Working Days.
Global Priority Rule
- OPERATIONAL ALIGNMENT: Under no circumstances should answers be published or placed on-site without prior operational verification by the client. Publishing incorrect service capabilities or billing promises is a critical process failure.
PROCESS MAP
GATE 0 — CLEANUP AUTHORIZED
- Trigger: Account Manager or SEO Specialist identifies inaccurate or missing Google "Learn Something Specific" answers on mobile.
- Owner: Account Manager → SEO Specialist
- Entry Criteria:
- Client has an active Google Business Profile.
- Access to client's PagePilot admin dashboard.
- Exit Criteria (must all be true):
- Q&A cleanup task created and assigned to SEO Specialist.
GATE 1 — TARGET LIST ESTABLISHED
- Owner: SEO Specialist
- Required Inputs:
- Mobile view of the client's GBP panel (inspect in Chrome -> toggle device toolbar -> reload).
- Exit Criteria (must all be true):
- Target list of 5–10 high-value questions created.
- List prioritizes client-requested items, followed by conversion-sensitive topics:
- Emergency / after-hours coverage.
- Same-day scheduling rules.
- Service area limits.
- Financing / payment options.
- Specialized capabilities (heat pumps, ductless, boilers).
- Install-only vs. repair constraints.
➡️ The scope must be kept tight and manageable (maximum 10 questions) before moving forward.
GATE 2 — CLIENT OPERATIONS VERIFICATION
- Owner: SEO Specialist & Account Manager
- Required Inputs:
- Target Question List from Gate 1.
- Exit Criteria (must all be true):
- Client confirms the accuracy of intended answers.
- Explicit constraints documented (e.g., "emergency service for existing customers only", "no weekends").
- Pricing, time guarantees, or brand claims verified as operationally correct.
- Client sign-off logged in the task thread.
➡️ Blocker Protocol: If client operations are unclear, pause the process. Do not guess dispatch or coverage areas.
GATE 3 — DRAFT ANSWERS FOR RETRIEVAL
- Owner: SEO Specialist
- Required Inputs:
- Approved operations notes from Gate 2.
- Exit Criteria (must all be true):
- Answers drafted to be short (1–2 sentences), declarative, and direct (e.g., "We offer..." / "We service...").
- Mushy or vague language ("We can help with...", "We might...") avoided.
- Consistent phrasing established for use across all site placements.
- Email Template Sent (Optional): If gathering questions directly from a client, send the standard GBP Q&A info email:
- Email Text:
Hi [Client Name],
Thanks for reaching out. Here’s a quick overview of how our GBP Q&A cleanup process works:
We confirm each answer with your team so everything reflects your real operations (hours, service area limits, same-day availability, emergency coverage, etc.). Once approved, we place those answers in the right sections of your website and clean up any conflicting language so Google sees one clear, consistent message.
After updates are live, we monitor the GBP “Learn something specific” results and track improvements.
If you’d like, send over your priority questions and how you’d like them to be answered so we can come up with a solution.
Thanks,

- Implementation map updated (Question -> Target Page -> Section).
GATE 5 — CONFLICT RESOLUTION & CLEANUP
- Owner: SEO Specialist
- Required Inputs:
- Implementation map from Gate 4.
- Exit Criteria (must all be true):
- Existing site pages audited for contradictory statements.
- Conflicting details standardized or removed (e.g. standardizing "24/7" vs. "after-hours available" claims).
- Site-wide messaging checked to ensure a single, consistent narrative.
GATE 6 — LOGGING & POSITION MONITORING
- Owner: SEO Specialist
- Exit Criteria (must all be true):
- GBP Q&A Change Log updated (including: Target questions, approved answers, pages updated, and publish date).
